Scheduled Cancellation

Scheduled Cancellation lets you end a Subscription at a future date while keeping billing, access, and invoicing uninterrupted in the meantime. Whether your Customer has requested to cancel at the end of their service period or you plan to end the Subscription on a specific future date, this guide walks through all cancellation options, proration impacts, and invoice behavior to help you manage subscription lifecycle events with confidence.

Cancellation Methods

Cancel at End of Period

Choosing to cancel at the end of the current period ensures the Subscription remains fully active through its current billing cycle. This method is helpful when the Customer intends to use the service until the prepaid period ends.

Projected Periods:

  • The system provides a list of projected billing dates:
    • The next three billing dates are provided for Evergreen subscriptions. If you would like to pick a billing date beyond the next three, use the Cancel on Specific Date option.
    • Each billing date until the end of the current term is provided for Term subscriptions.
  • These are determined by whether at least one Subscription item is set to invoice on each of those dates.

Cancel on Specific Date

Alternatively, you can schedule the Subscription to end on an exact future date, regardless of the billing cycle.

  • Gives flexibility if the cancellation should align with contract terms or a Customer’s preferred date.
  • Allows ending access or billing on a date that doesn’t align with a billing period.
  • May affect invoice timing and proration (see below).

Key Behaviors of Scheduled Cancellations

Impact on Existing Invoices

Subscription cancellation—whether at period end or on a specific date—does not affect any already issued Invoices. If there is an open Invoice that you no longer expect to collect, consider voiding it directly.

  • Use the Subscription Invoices page to void the Invoice.
  • This view shows issued Invoices that may include Invoice Line Items with service dates later than the cancellation date.

No Automatic Proration

Maxio does not prorate charges based on a mid-period cancellation date.

  • If a Subscription is canceled halfway through a month and a full-period component was already invoiced, the Customer is billed for the entire period.
  • To offer a partial refund, manage the Invoice directly.
  • To issue a prorated final Invoice, adjust the Subscription term.

Metered Components and Mid-Period Cancellations

Metered components that are billed in arrears will not be invoiced. If you would like to invoice for unbilled usage, we recommend waiting until the current period ends or issuing an ad hoc invoice.

Effect on Maxio Core Transactions

Maxio Core Transactions are not updated until the scheduled cancellation date arrives.

  • Reports and transaction history will show the Subscription as active until the cancellation takes effect.
  • To reflect a shorter term sooner (e.g., for revenue recognition), consider adjusting the Subscription’s term instead.

Limitations on Cancellation with a Locked-in Renewal

Scheduled cancellation applies only to the current term. To effectively end a subscription sooner than the Renewal term is due to end, shorten the renewal term length.

Time Zone Handling

If scheduling a cancellation in the UI, the subscription will be canceled at approximately the same time of day as it normally invoices. If scheduling a cancellation via the API, you can supply the cancellation time. Maxio interprets the supplied cancellation date using your site’s configured time zone. It adjusts for daylight saving time to ensure the correct local cancellation time.

Subscriptions Awaiting Signup

Subscriptions in Awaiting Signup or Awaiting Signup Date statuses can only be canceled immediately. Scheduling a future cancellation is not allowed for these statuses.
