How Custom Pricing Works in HubSpot

Create and sell subscriptions in HubSpot with negotiated (non-catalog) pricing using the Custom Pricing wizard in the Subscription Preview. Finalized prices sync automatically to HubSpot for accurate reporting, without requiring Advanced Billing console access.

With Custom Pricing, you can:

  • Work in HubSpot: Sales and CS teams initiate and finalize pricing from the deal record.
  • Customize pricing: Adjust product and component prices and quantities in a guided wizard.
  • Create in Advanced Billing: The wizard creates the Subscription in Advanced Billing using your custom values.
  • Sync back to HubSpot: Advanced Billing updates HubSpot line items and deal amounts for reporting.

Prerequisites

  • Advanced Billing ↔ HubSpot integration is installed and connected.
  • Products and components from Advanced Billing are available as HubSpot products and line items.
  • You have permission in HubSpot to view deals and use the Subscription Preview.

Current Limitations

  • Custom pricing is configured in the Subscription Preview wizard, not by editing HubSpot deal line items directly.
  • Variable components with brackets are not supported in HubSpot line items.

How to set Custom Pricing in HubSpot Deals

  1. In HubSpot, open the target deal, then add your Products/Components as Line Items.
  2. Scroll to the deal’s Activity section and open the Subscription Preview.
  3. In the Subscription Preview, select Custom Pricing. The wizard opens with your deal’s products and components preloaded.
  4. Use the wizard to set negotiated prices and quantities for products and components. Review calculated totals in real time, and validate the billing period, trial (if applicable), and other allowed parameters.
  5. Click Create Subscription in the wizard. The Subscription is created in Advanced Billing using the custom values you entered.

Advanced Billing writes back the final line item values and the deal amount to HubSpot so reporting reflects your negotiated pricing.

Troubleshooting

The Custom Pricing button isn’t visible

  • Confirm the Advanced Billing ↔ HubSpot integration is connected, and you have access to the Subscription Preview.
  • Ensure products/components are added as line items on the deal before opening the preview.
  • Refresh the deal page to reload the Activity section.

Totals don’t match what I expect

  • Re-check all edited prices and quantities in the wizard.
  • Verify the billing period, proration, and any trial or one-time charges.
  • Confirm that unsupported variable/bracketed components are not required for this deal.

HubSpot deal amount didn’t update

  • Verify the Subscription was created successfully in Advanced Billing.
  • Allow a short delay for the sync, then refresh the deal.
  • Confirm the HubSpot products are mapped to Advanced Billing Products/Components.

FAQ

Can I edit HubSpot line items directly to set custom pricing?

No. Use the Subscription Preview’s Custom Pricing wizard. The finalized Subscription will update line items automatically.

Are variable (bracketed) components supported?

Not at this time for HubSpot line items. If your offer requires variable brackets, model the pricing with supported components or use catalog price points.

Will this affect HubSpot reporting?

Yes, positively. The Advanced Billing-created Subscription with custom pricing updates deal amounts and line items, so HubSpot reports reflect the negotiated values.
