Configure the Campfire Integration
Applies to: Maxio Core
Last updated on Nov 2, 2026
Choose when Maxio syncs with Campfire, which Campfire accounts credit memos and Deposits post to, and which sync steps run. These settings decide what Maxio can send to Campfire, so complete them before Maxio Support turns on the Send steps.
Complete this after connecting Maxio to Campfire. If you haven't connected yet, see Setup the Campfire Integration first.
Configure sync settings
Go to Left Menu > Campfire, click the gear icon (Integration Settings), then click the pencil icon (Edit Settings). The Synchronization section controls when syncs run and how far back they reach:
| Setting | Description |
|---|---|
| Sync Records On Or After | Only records dated on or after this date sync, in both directions. If left blank, every step syncs all history. |
| Sync Schedule | Choose how often Maxio syncs with Campfire automatically.
|
Configure accounts and options
The Configuration section, on the same Edit Settings page, sets where Maxio posts records in Campfire. The entity and account lists show the data Maxio has retrieved from Campfire: entities appear as soon as you connect, and accounts appear after the first sync runs Get Chart of Accounts. Every list is unavailable until Campfire is connected.
| Setting | Description |
|---|---|
| Default Entity | The Campfire entity that Invoices, credit memos, Payments, and Deposits post to when a mapping doesn't name another entity. Saving it also fills in the integration's Currency and Subsidiary Name. |
| Credit Memo AR Account | The Accounts Receivable account that credit memos post to. Only Campfire accounts with the Accounts Receivable subtype are listed. Required to send credit memos. If left blank, Send Credit Memos sends nothing. |
| Deposit Bank Account | The bank account each Deposit's net amount posts to. Only Campfire accounts with the bank subtype are listed. Required to send Deposits. |
| Deposit Source Account | The account each Deposit line's gross amount is credited from, which clears the Payments posted there. Must be the bank account selected in the Send Payments mapping. Otherwise, Maxio doesn't save the setting. |
| Deposit Fee Account | The account processor fees on a Deposit are booked to. |
| Deposit Unknown Funds Account | The account that takes the gross amount of a Deposit line whose Payment isn't linked to Campfire. |
| Send Invoice Sales Tax As | The Sales Tax Item that carries an Invoice's or credit memo's sales tax to Campfire, as an extra line. Only active Sales Tax Items are listed, and the Item must also be linked to Campfire. If left blank, Invoices with sales tax aren't sent. |
| Automatically Generate Maxio Profiles for Items | Sets up new Items created from Campfire products without a manual Maxio Profile. See Automatically Generate Maxio Profiles for Items below. |
Click Save to apply your changes.
Automatically Generate Maxio Profiles for Items
By default, each Item that Get Products creates needs a Maxio Profile and shows an Item needs a Maxio Profile blocker. Syncing with Campfire works only after every Campfire Item has a Maxio Profile.
The setting applies only to Items that Get Products creates after you turn it on. Items that already exist in Maxio, including Items already linked to a Campfire product, aren't changed.
Configure sync steps and mappings
The Synchronization table on the Integration Settings page lists every sync step. Click Settings next to a step to change it:
- Enabled: turns the step on or off. Get Invoices, Get Payments, Get Credit Memos, and every Send step except Send Items/Products and Send Customers are off by default.
- Last sync date: for a Get step, the point it retrieves changes from. Clear it to make the step retrieve every record again on the next sync.
- Mappings: steps that have mappings show them on the same page, where you can change which field each value comes from. For the fields each step maps, see Sync Data Between Maxio and Campfire.
The Send steps appear in the table only after Maxio Support turns them on for your account.
To return a step's mappings to Maxio's defaults, click the map icon (Use Default Mappings), select the steps, and click Use Default. There's no undo, so test the mappings afterward.
To see the entities, accounts, departments, custom dimensions, and vendors Maxio has retrieved from Campfire, click the list icon (View Reference Data).
