Use GL Sync to post the Advanced Revenue Summary report's consolidated journal entries directly to your connected general ledger, so recognized revenue, deferred revenue, and unbilled AR stay aligned between Maxio and your accounting system.

Key capabilities
GL Sync turns the Advanced Revenue Summary report's period-end numbers into journal entries in your general ledger, without a separate manual export/import step. These capabilities help keep your books current without duplicating close-process work:
- Automatic journal entry generation: Maxio builds a balanced journal entry from the report's Consolidated Journal Entries section for each period you sync.
- Manual or scheduled sync: Run a sync on demand, or schedule it to run automatically on a daily, weekly, or monthly cadence.
- Re-sync safe for open periods: Re-running a sync for an open period updates the existing journal entry in every supported destination rather than creating a duplicate.
- Duplicate- and scope-safe by design: Maxio warns you before creating a second sync configuration that would post the same report scope to the same destination, and before a first scheduled sync would silently cover more than one period.
- Optional workpaper attachments: Where the destination general ledger supports it, Maxio can attach a supporting workpaper file to the journal entry it posts.
- Automatic retry: Scheduled syncs automatically retry transient failures (like a provider rate limit) with backoff, up to a configurable retry limit.
- Report list indicator: A report with GL Sync configured shows an icon for each connected destination (with a tooltip naming them, and a "+N more" badge past three) right on the main Report list page, so you can see sync status without opening the report.
What syncs
The Advanced Revenue Summary report has four sections. GL Sync only posts one of them. The rest are for your review inside Maxio and are not sent to your general ledger.

Supported general ledgers
GL Sync supports five destinations. Attachment support varies by platform, so confirm this before you turn on workpaper attachments for a configuration.

Prerequisites
Confirm these are in place before configuring GL Sync. These requirements prevent the most common setup and mapping errors:
- The Advanced Revenue Summary report is enabled for your account and configured (revenue book, grouping, periodicity, and so on).
- Your general ledger, whether that's QuickBooks Online, NetSuite, Xero, Sage Intacct, or Rillet, is already connected to Maxio. GL Sync does not create this connection; it uses a connection you've already set up.
- You have the Bookkeeping User permission (Admins have this automatically).
- Every account referenced by the report's journal entries has a matching account in your destination general ledger's chart of accounts, with the destination-specific ID saved on the Maxio account record.
Customer responsibilities
Maxio generates and posts the journal entry. You remain responsible for the accounting decisions and account setup behind it:
- Keeping your chart-of-accounts mapping current as accounts are added, renamed, or retired in either system.
- Reconnecting your general ledger promptly if its credentials expire or are revoked.
- Reviewing sync history and resolving flagged errors, particularly missing account mappings and closed-period conflicts.
- Confirming the intended period scope before enabling a configuration's first scheduled sync.
Limitations
Review these before enabling GL Sync. They affect which destinations fit your setup and what to expect from workpaper attachments:
- Only the Consolidated Journal Entries section syncs. The other three report sections remain Maxio-only.
- Workpaper attachments aren't available on every destination. NetSuite, Xero, and Rillet don't support attaching a file to the posted journal entry; the sync still succeeds; only the attachment step is skipped.
- Workpapers are generated as CSV today. The workpaper format setting offers CSV or PDF, but only a CSV file is produced regardless of your selection.
- Rillet doesn't receive dimensions. Class, department, and similar dimension mappings aren't sent to Rillet.
- One configuration per report scope per destination. Maxio blocks a second active configuration that would post the same report scope to the same destination unless you confirm you intend to create it.
