Maxio's financial reports and analytic reports answer different questions: financial reports tie back to your general ledger, while analytic reports track subscription metrics such as MRR and ARR. This recorded session covers both, and the audience Q&A that followed is transcribed below.
1. Can we see how to handle multi-year deals to get accurate ARR reporting while also proper rev rec?
Multi-year deals can be configured in several ways, so this answer stays at a high level. Most commonly, Customers use a single Transaction spanning the full term, with revenue recognized across the duration. To "stair-step" the ARR or the invoicing over the term instead, create multiple Transactions. For a specific use case, submit a support ticket to get a detailed response and examples tailored to your setup.
2. Is there a way in the Journal Entry report to drill down to the client level, or another report that shows that when troubleshooting items?
In the Summary section at the top of the Advanced Revenue Summary Report, click the blue, hyperlinked row headers to drill down into the data by item account. That opens a drill-down report showing which Contracts and Customers contribute to the balances, and by how much.
3. Is there a way for the report to reflect the account number rather than just the name?
For the Income, Asset, and Liability accounts, update the account names to be the account numbers instead of the names. See Managing the Chart of Accounts.
4. Is there a way to drill down to the detail of the Deferred Revenue Waterfall? Right now the default numbers on the report are all hard-coded.
Click Deferred Revenue in the Summary section of the Advanced Revenue Summary Report. That opens a new tab showing your deferred revenue waterfall, based on the date range of the Advanced Revenue Summary Report you created.
5. Currently we run two separate Advanced Revenue reports for Contracts with revenue generated from RevenueBooks and revenue generated at the Transaction level. Is there a revenue report that combines the two?
Revenue is generated differently for RevenueBooks than for Transactions, so each option needs its own report.
6. Is there a report that shows e-Bill activity, such as date created, date emailed, date opened and by whom, and clicks and by whom?
The Invoice list can be filtered by e-Bill status (sent, not sent, ready to send, and so on), and the e-Bill status column can be shown alongside the Invoice and Customer numbers. The Days Sales Outstanding Report and the A/R Aging Report both account for sent e-Bills and their data, and return Accounts Receivable balances.
Some of that data is available in the Invoice list as columns. The Invoice Status column shows whether the email was opened, and the Last Emailed column shows when the e-Bill was most recently emailed. To see which users sent or opened the e-Bill, open the individual Invoice page.
7. Can you modify the date range to cover multiple years in reports?
Date ranges can be modified. To change the date range of a One-Click Report for a single use case, click Save As in the top-right corner.
To update a One-Click Report so that it uses the longer date range every time you select it, contact Support for help updating the date range.
8. How do you access the One-Click Report types over multiple years? Do you have to build out the reports yourself?
Generate a One-Click Report, then click Save As in the top-right corner to give it a title and save your own version of it. After clicking Save As, you can change the date range on the following screen.
9. What is the best way to set up ARR/MRR correctly when there is catch-up revenue recognition? For example, the term runs from January to December but revenue recognition starts in March, so three months of revenue is recognized in March. How do you keep ARR/MRR from being skewed?
MRR and ARR are calculated from the start and end dates of the Transactions, so a term starting in January and ending in December is calculated as 12 months.
Follow-up question: If the month is closed in Maxio, does prior-period or catch-up revenue hit the open month?
That is correct. Revenue is not regenerated in closed periods; any necessary changes are made in the first open month.
10. What value does the MRR metric provide that is not already inherent in ARR?
Whether you configure your analytic reports in ARR or MRR is up to you. ARR is MRR*12, so the two are directly proportional. Some users prefer to see their data as MRR and others use ARR.
11. Can we add custom color codes to reports?
Yes. Go to Admin Settings > Account Settings > Reports.
12. What are Cohort Reports used for?
The Cohort Report analyzes like groups. In a subscription business, the most common cohort is the "class of," meaning the Customers that started in a specific month. A cohort can also be all Customers in a specific industry, or those sold by a specific channel or sales rep.
13. Is there a way to run a deferred revenue waterfall at the Transaction level rather than the Contract level?
Use the Deferred Revenue by Transaction report. It calculates Deferred Revenue and Unbilled Accrued Revenue by Transaction, for the selected Transactions with deferred revenue or unbilled AR as of the report end period.
Conceptually this report is similar to the Contract Summary Report, and the output looks similar. The underlying logic differs, though: the calculations are performed at the Transaction level rather than at the Customer or Contract level.
Follow-up question: The deferred revenue total on the One-Click revenue report does not match the Deferred Revenue by Transaction report. Why?
To tie the two reports out, summarize the deferred revenue and unbilled AR by Customer and Contract for the Transactions. GAAP-compliant revenue reporting typically requires deferred revenue and unbilled AR to be calculated by Customer Contract.
14. For deferred revenue, can the rounded number be changed from the back end to the front end?
That depends on the revenue recognition method in use. Options include "partial months combined into the first month" and "partial combined into last." The default revenue recognition method is set at the Item level and produces the revenue schedule built for a given Transaction. That schedule then determines how the deferred revenue runs off.
15. We pay commissions based on when an Invoice is paid, which is manual because the Invoice list only marks paid as yes or no. Can the Invoice list show payment details such as date paid and check number?
The Invoice list does not show those details. Submit a Product Suggestion for this functionality to the Support team, who can pass the feedback to the product team.
16. Is there a report that shows recognized revenue by new, contracted, expansion, and so on?
Revenue is recognized based on the Item and its settings. Differentiating new, contracted, and expansion revenue is determined by the entirety of the Transactions within each Customer and Contract.
To report on those categories, use Custom Fields to categorize each Transaction as new, contracted, or expansion, then use a Basic Report to determine revenue.
17. How do you update the Transactions and revenue schedules when a Customer cancels their Contract?
Use the Contract change functionality to early-terminate the Transaction, which applies the new end date. Doing so updates the Transaction amount, revenue recognized, and Invoice amount to reflect the end date. A Contract change automatically creates a negative offsetting Transaction to back out the revenue and Invoice, so the Transaction stays in balance.
Follow-up question: Can this be done for a closed period as well?
Take care before opening a closed period for this, because revenue should not be regenerated in a period you have already closed and reported on. As a best practice, early-terminate as it happens, so the revenue and MRR/ARR changes fall in the month they apply to.
18. Is there a way to use the reports to show what MRR and ARR would be if all Contracts renewed at current pricing?
The Projection Report addresses that use case. It reports on existing deals in your Maxio account as well as hypothetical renewals. Not-yet-created renewals are reported using the same data as the existing Transaction, unless you specify a renewal amount or renewal factor for it. The report can also apply a renewal factor across the board, where 1.05 is a 5% uplift.
19. Which report shows just new revenue for the year, excluding recurring deferred revenue from prior Transactions?
Use the Contract Details Report to view revenue by Customer and Contract, then filter it to ignore Transactions with a start date before a certain date. The report filters can include or exclude revenue and invoicing for specific time periods.
20. Is there an option to show the paid date on the Invoice list, rather than opening each Invoice to confirm payment?
Use the Payment List instead. It provides the details of the Payment along with the Invoice numbers.
21. When will Advanced Billing fields be added as filters and columns in the Maxio Core reports?
Some of that functionality already exists. Custom Fields from Advanced Billing can be mapped to Maxio Core Custom Fields for reporting, and Subscription information is available in reports.
22. Which reports show whether your general ledger matches? Is it the Advanced Revenue and deferred revenue waterfall?
This question is answered in the webinar at around the 51:29 timestamp. As a general practice, use your Close dates so that historical reporting periods in Maxio cannot change because of edits made by users in your account.
23. Is there a way to enter expenses for marketing and sales to compute the cost of client acquisition?

24. How do you create two Invoices from one line subscription for 18 months, where the first Invoice covers 6 months and the second covers the balance?
When creating the Transaction, click the down arrow on the Submit button and choose to submit and edit Invoices, rather than clicking Submit directly. That lets you adjust the number of Invoices for a custom invoicing schedule.
25. Can expenses be configured to auto-feed, or do they need to be entered manually each reporting period?

26. Does the invoicing schedule affect ARR or MRR?
No. ARR and MRR are a function of the Transaction duration and amount, so a Transaction has a set ARR based on its duration and amount. The Invoice schedule can be customized separately.
27. Is there a report that shows customers with Transaction, Invoice, or revenue imbalances?
Click the Revenue tab in the control bar on the left side of the screen, then look in the Attention Needed section.
