Recommended Workflow for the Xero Integration
Last updated on Aug 18, 2026
Follow the recommended division of labor between Maxio Platform and Xero to keep your financial records consistent day-to-day.
The actions below detail the recommended use of the Xero integration:
- You create Customers, Contracts, Transactions, Revenues, and Invoices in Maxio Platform.
- You send e-Bills to your customers from Maxio Platform.
- You receive payments in Maxio Platform (either manually or electronically via e-Bill).
- Customers, Invoices, Payments and Payment Processing Fees are sent to Xero via sync.
- You make journal entries manually in Xero using information from the Maxio Platform journal entry report.
This means:
- You create new customers in Maxio Platform, not in Xero
- You create new Invoices in Maxio Platform, not in Xero
- You create new Items in Maxio Platform, not in Xero
- You email invoices from Maxio Platform, not Xero
- You receive electronic payments and deposits in Maxio Platform
- You enter nothing into spreadsheets - Maxio Platform replaces your contract spreadsheet ledger and your deferred revenue spreadsheet ledger
For step-by-step guidance on building invoices that sync correctly, see Create Invoices That Sync With Xero.
To manually trigger a sync and understand sync outcomes, see Run a Xero Sync.
