The Intacct integration connects Maxio to Sage Intacct so that accounts, items, customers, invoices, credit memos, payments, and refunds sync between the two systems, keeping your general ledger aligned with your Maxio data. If your general ledger is NetSuite, see Understand the NetSuite Integration instead; for QuickBooks, the common questions are collected in QuickBooks Integration FAQs.
What you can do with the Intacct integration
The Intacct integration lets you:
- Connect Maxio to Intacct using a dedicated Web Services user, an assigned Admin role, and a token-based connection.
- Control which records sync using individual sync steps for accounts, items, payment terms, customers, invoices, adjustments, credit memos, payments, and refunds.
- Map custom fields for items synced from Intacct.
- Set up Order Entry transaction definitions in Intacct so invoices and credit memos post to the correct accounts receivable account.
- Sync to a specific Intacct entity or the Top Level, if your account uses Intacct's multi-entity management.
- Monitor sync status, review items that need attention, and manually trigger a sync from the Intacct dashboard in Maxio.
- Choose how the integration handles a sync error on Send steps: stop the current run, or log the error and continue through the remaining records.
How data moves between Maxio and Intacct
Each record type (items, customers, invoices, payments, and more) has its own sync step, which can be a Get step (retrieves records from Intacct into Maxio), a Send step (sends records from Maxio to Intacct), or both. Sync steps can be toggled on and off independently, and some support field mappings that control which Maxio fields correspond to which Intacct fields.
Syncs run on the schedule you configure, or can be triggered manually at any time.
For the full list of sync steps, what each one does, and field mapping details, see Understand Intacct Sync Steps.
Things to know before you start
A few behaviors are worth knowing up front:
- Some sync steps and settings require Maxio Support to enable Intacct Integration V2 for your account, rather than being self-service. See the (V2 only) items in Understand Intacct Sync Steps.
- The Intacct entity a Maxio instance connects to can only be set before your first sync. Once records have synced, it can't be changed. See Step 1 - Set the entity.
- Continue on Error only affects Send steps; a Get step's errors always stop the sync regardless of this setting. See Settings.
- Customer visibility depends on which entity your Maxio instance is connected to, Top Level or a specific entity. See How does multi-entity management work between Maxio and Intacct?.
