Set Up Sphere in Maxio Invoicing Suite

Connect Sphere to Maxio to calculate sales tax on invoices using Sphere tax rules and real-time jurisdiction results. Use this setup workflow to add Sphere API credentials, test the connection, rotate keys, or disable the integration when needed.

Before you start

Review the prerequisites and limitations in Sphere Integration Overview before enabling Sphere.

Implementation order

Follow these steps in order so product tax codes, exemptions, and required addresses are in place before tax begins calculating on live invoices.

1. Get a Sphere API key.
2. Enable the Sphere integration in Maxio.
3. Configure the tax origin address.
4. Assign Sphere product tax codes to product catalog.
5. Apply customer exemption categories where applicable.
6. Test in Sandbox, then switch to Production.

Step 1: Get a Sphere API key

In the Sphere dashboard, go to Integrations, select Edit on the Maxio tile to open Maxio integration details, then select Generate API key under API Keys. Generate a key for the environment you intend to connect.

• Sandbox key: Use with a Maxio test site for implementation validation.
• Live key: Use only with your Maxio production site.

Keep keys scoped to one environment. Pointing a Live key at a test site, or a Sandbox key at a production site, can produce confusing tax results and is not supported.

Step 2: Enable Sphere in Maxio

Administrators can manage the integration from Settings > Taxes in Maxio.

1. Go to Settings > Taxes.

2. Select Enable Sphere.

3. Enter your Sphere API key.

4. Save the settings by selecting Connect Sphere.

When you save, Maxio stores the credentials in gateway settings and switches the site's tax type to Sphere. Maxio requires a key to be entered before the form can be submitted.

Test the connection

Use Test Connection to verify your credentials without committing them. The test attempts a live call to Sphere using the key you entered. If the test fails, Maxio displays an error so the issue can be corrected before going live.

Edit or rotate Sphere keys

If Sphere is already enabled and you need to update the key, select Edit, enter the new key, then select Save Configuration. Maxio saves the new key and keeps the site marked as Sphere-enabled.

Disable Sphere

Selecting Disable, then confirming with Yes, Disable, removes the stored credentials, reverts the site's tax type to custom, and stops Sphere tax calls. Any errors during disablement are logged and surfaced in the UI.
