Create a Taxed Contract with Sphere

Applies to: Advanced Billing

··

Last updated on Sep 8, 2026

Maxio Core doesn't calculate Sphere tax on its own. A Contract's invoice gets Sphere-calculated tax only when Maxio Core is connected to an Advanced Billing site that has Sphere set up, and the Contract's item and customer are synced to that site. Use a taxed contract to confirm this connection produces the correct tax before you bill it.

Before you start

Confirm that the connected Advanced Billing site's Sphere setup and required tax calculation data are complete before creating a taxed contract. Missing addresses, taxability settings, sync links, or credentials can prevent tax from calculating correctly.

  • Maxio Core is connected to an Advanced Billing site, and Sphere is enabled on that site (see Set Up Sphere in Maxio Invoicing Suite).
  • The tax origin address is complete on the connected Advanced Billing site.
  • The customer has the address required by the connected site's Tax Destination Address setting.
  • The contract's item and customer are synced to Advanced Billing.
  • The invoice includes taxable items.

Step 1: Create or update the item

The item catalog controls which items are taxable. Sphere requires the item to be synced to its Advanced Billing counterpart, so review the catalog before creating the contract so Sphere receives the correct line item details.

  1. Define items in Maxio Core.
  2. Mark items as taxable when sales tax should apply.
  3. Confirm the item shows Synced to Advanced Billing. Sphere can only calculate tax for items linked to an Advanced Billing item.
  4. Add a Tax Code when Sphere should use a specific product category.

Step 2: Create the customer record

The customer record must be synced to Advanced Billing and include the address required by the connected site's Tax Destination Address setting. Sphere uses the synced customer's destination address to calculate applicable sales tax.

  1. Confirm the customer is synced to Advanced Billing.
  2. Enter the customer address information required by the connected site's Tax Destination Address setting.
  3. For shipping-based tax settings, collect a complete shipping address.
  4. For billing-based tax settings, collect complete billing address details on the payment profile or signup form.

Step 3: Configure the contract and invoice

After the item and customer record are ready, add taxable items to the contract invoice. Previewing or issuing the invoice sends it to the connected Advanced Billing site, where Sphere calculates the tax; Maxio Core stores the returned amount on the invoice's line items.

  1. Add taxable items to the contract invoice.

  2. Preview the invoice to confirm tax is calculated before billing.

  3. Complete sending and issuance of the invoice when the tax amount looks correct.

Test before going live

Test the full Sphere workflow in Sandbox before using a Production key. This helps confirm tax amounts, jurisdiction details, exemptions, and Sphere metadata before live invoices are created.

  1. Connect your Maxio Core test environment to an Advanced Billing test site, and connect that test site to a Sphere Sandbox account.
  2. Run sample contracts, invoices, voids, and refunds.
  3. Verify tax amounts, jurisdiction breakdowns, and exemption behavior.
  4. Confirm Sphere metadata, including transaction ID and jurisdiction detail, is stored on invoices.

Once validated, switch the connected Advanced Billing site to the Live API key for your production site.
