Upload and Manage CSV Files for Import

··

Last updated on Sep 23, 2026

Store CSV import files in your Maxio account and keep track of every file you've uploaded. From the Upload CSV Files page, you can upload files, download a copy, filter the list by status or uploader, and delete files you no longer need.

Before you start

You need the Admin User role to open the Upload CSV Files page. See Understand User Roles and Access Controls for how roles and permissions work.

The page accepts CSV files only, and each file's name must be unique among your uploaded CSV files. Name matching ignores case, so Customers.csv and customers.csv count as the same name. Save your file with UTF-8 encoding, the same requirement described in Format a CSV File for Import.

Upload a CSV file

You can upload one file at a time or several at once. Maxio scans each file for viruses as it uploads.

To upload a CSV file

  1. Open the Admin menu and, in the Import section, click Upload CSV Files. If your account doesn't have access to imports, the link is in the Utilities section instead.
  2. Drag one or more CSV files onto the upload area at the top of the page, or click the upload area to browse for them.

Each file uploads on its own, so one rejected file doesn't stop the others. When every file in a batch uploads successfully, the page refreshes and the new files appear in the list. If some files are rejected, Maxio shows how many files were uploaded, and those files appear in the list once you refresh the page.

For each rejected file, Maxio shows the reason under the file:

  • The file doesn't have a .csv extension.
  • A file with the same name is already uploaded. Rename the file, or delete the existing one, and try again.
  • The file contains a virus. Maxio doesn't save it.

View and filter uploaded files

The page lists every file you've uploaded, newest first. Each row shows the following columns:

  • File Name - Click the name to download the file.
  • Created By - The username of the person who uploaded the file.
  • Created - The date and time of the upload.
  • Size - The file's size.
  • Status - Where the file is in its lifecycle. See the status list below.

Click a column header to sort the list by that column. Click it again to reverse the order.

A file can have one of these statuses:

  • Available - The file passed its virus scan and hasn't been used in an import. You can download or delete it.
  • Scanning... - Maxio couldn't finish the virus scan when you uploaded the file, and retries it automatically. You can't download or delete the file until the scan finishes.
  • Used in Import - The file was the source file for an import. Maxio keeps it for audit purposes, so you can't delete it.
  • Infected - A later scan found a virus in the file. You can't download it, but you can delete it.

By default, the list shows only Available files. To see other files, click Select Filters and change any of these filters, then click Apply Filters:

  • Status - Choose Available or Used in Import, or leave it blank to include every status.
  • Created Date - Choose a date range, such as the last 7, 30, or 90 days.
  • Created By - Filter by the uploader's username.

To remove every filter, including the default Available filter, click Clear Filters in the same dialog.

Delete a file

You can delete any file except one that's still being scanned or that's already been used in an import. For those files, the checkbox and the Delete option are unavailable. Hover over either one to see why.

WARNING: Deleting a file removes it from storage permanently. You can't undo a deletion.

To delete one file

  1. Click the action menu on the file's row and select Delete.
  2. In the Delete file dialog, click Delete.

To delete several files at once

  1. Select the checkbox for each file you want to delete.
  2. Click Delete Selected.
  3. In the confirmation dialog, click Delete.

Maxio removes the files from the list and shows a confirmation message, such as File deleted. or 3 files deleted.

For an overview of import types and what each one can change, see Understand Imports.
