Review Example Prompts for Maxio MCP Tools

··

Last updated on Sep 19, 2026

The Maxio Model Context Protocol (MCP) lets AI assistants work with your Maxio Core and Advanced Billing data in natural language. The prompts below show how to phrase a request so the assistant reaches for the right tools, context, and permissions.

How to use these prompts

Treat them as inspiration rather than copy-and-paste instructions. Some reference attributes your configuration may not have, such as Ideal Customer Profile (ICP) segments or connected systems like Salesforce and NetSuite.

Executive KPI pack

"I'm the Director of Finance preparing tomorrow's executive KPI pack. Using this Subscription Momentum Report run: https://app.maxio.com/acme/so/reports/log/40441/, download the report output file via Download Existing Report Run. Summarize key trends (new MRR, expansion, contraction, churn), call out anomalies vs last month, and provide a clean CSV-ready table I can paste into our board deck."

Board readiness for customer success

"I'm the VP of Customer Success, preparing for quarterly business reviews with our top 20 strategic accounts. Pull the latest health scores, expansion pipeline, and churn risk indicators from Maxio and Salesforce, then craft a prioritized briefing that highlights customers trending upward, accounts needing executive outreach, and recommended next steps for each."

Revenue operations deal desk

"As the Revenue Operations manager, building the GTM dashboard for next week's leadership sync, aggregate current-quarter ARR forecasts, expansion opportunities, and contraction alerts from Maxio. Blend in Salesforce opportunity stages and marketing attribution data to surface the top levers impacting forecast accuracy, and propose immediate remediation actions."

Collections and cash-flow planning

"I'm the CFO preparing Monday's liquidity update. Reconcile Maxio billing schedules with NetSuite cash receipts to spotlight late payers, expected inflows, and any variance from the weekly cash plan. Provide a narrative summary plus a table I can drop into the finance deck."

Renewals playbook

"I lead the Renewals team and need a 30-day action plan. Pull every contract up for renewal in the next quarter from Maxio, layer in usage signals and customer fit scores, and deliver a day-by-day engagement plan that includes executive sponsors, talking points, and cross-sell recommendations."

Product and pricing intelligence

"As the Head of Product Marketing, finalizing the fall launch brief, analyzing Maxio usage analytics to surface the most adopted feature bundles by ICP segment. Correlate with recent churn drivers and win/loss notes, and generate messaging pillars plus a pricing experiment roadmap for the launch team."

Sales Order from a signed agreement (PDF upload)

"I'm in Sales Operations and just received a signed agreement from the customer. I've uploaded the PDF to this chat. Please extract the key fields (customer name, contract start/end dates, pricing, products, and payment terms) and create a new sales order in Maxio. Confirm the sales order details before submission."

Reusable workflows and scheduled intelligence

Reusable templates:

  • Monthly collections review
  • Quarterly billing and ARR summaries
  • Renewal risk assessments

Scheduled MCP intelligence:

  • Weekly at-risk account briefings
  • Daily failed payment summaries
  • Monthly anomaly detection reports

This creates a progression from ad hoc analysis to recurring intelligence, while maintaining human oversight.

Prompting best practices

Core principle: Structure beats verbosity.

Recommended structure: Role + Objective + Scope + Constraints + Output Format + Action Boundary

Example prompt

I'm preparing for weekly collections. Analyze invoices overdue >30 days over the last 120 days, segment by aging bucket, highlight accounts above $50K overdue, and rank the top 15 by collection risk. Return a summary and table. Do not execute write actions.

Best practices:

  • Be explicit about outcomes
  • Use constraints such as timeframe, segment, and thresholds
  • Separate analysis from execution
  • Start broad, then refine
  • Request decision-ready outputs

Common mistakes to avoid

Most problems come from using MCP where an API belongs, or from prompts that leave too much unsaid.

  • Treating MCP as a replacement for APIs
  • Using vague prompts for high-stakes workflows
  • Skipping validation before billing actions
  • Overloading prompts with multiple objectives
  • Using MCP for high-volume deterministic workflows

Example workflow: a collections review

Objective: Prepare a weekly collections and billing risk review.

Workflow pattern

Six steps, ending deliberately at a draft rather than an action.

  1. Retrieve unpaid invoices >30 days
  2. Bucket by aging
  3. Enrich with ARR tier, billing behavior, and renewal timing
  4. Rank by risk
  5. Generate summary and table
  6. Draft actions, with no execution

Example prompt

I'm preparing for weekly collections. Using billing and customer tools, pull all unpaid invoices overdue >30 days over the last 120 days. Bucket by aging (31–60, 61–90, 90+), enrich with ARR tier, renewal timing, and six-month payment behavior. Rank the top 20 accounts by collection risk and explain each ranking. Output a concise executive summary and a table. Draft follow-ups only. Do not execute actions until approved.
