The HubSpot integration connects Advanced Billing to HubSpot so your product catalog, customers, and deals stay aligned between the two systems, letting sales teams build and price deals in HubSpot while Advanced Billing manages recurring billing and subscription operations behind the scenes.
What you can do with the HubSpot integration
The HubSpot integration lets you:
- Connect an Advanced Billing site to a HubSpot account through HubSpot's own authorization flow.
- Sync your Advanced Billing product catalog (products, components, and coupons) into the HubSpot Product Library as line items sales reps can add to deals.
- Sync Advanced Billing customers into HubSpot as Contacts, and optionally as Companies.
- Build a HubSpot deal from synced line items, preview it against Advanced Billing's billing engine, and create a subscription directly from the deal.
- Set custom, negotiated pricing on a deal's line items instead of using catalog pricing, if Custom Pricing is enabled for your site.
- View subscription and invoice details, and manage an active subscription (activate, put on hold, cancel, and more), from a Maxio CRM card on Contact, Deal, and Company records.
- Automatically create a HubSpot deal when a subscription is created, or when a subscription's component allocation increases.
- Post Advanced Billing activity, such as payments, renewals, and invoices, to the Contact, Deal, and Company timeline as it happens.
How data moves between Maxio and HubSpot
Once connected, most syncing happens in real time, triggered by activity in either system, rather than on a fixed schedule. Product catalog and customer syncing can also be triggered manually at any time from the integration's dashboard in Advanced Billing.
- Product catalog to Product Library: Advanced Billing products, components, and coupons sync into HubSpot as a single, flattened set of line items.
- Customers to Contacts: Advanced Billing customers sync into HubSpot as Contacts. How the integration handles an existing HubSpot Contact that matches by email is configurable.
- Deals to subscriptions: creating a subscription from a HubSpot deal is a one-time action a user takes on that deal, not a continuous two-way sync.

Things to know before you start
A few things are worth knowing up front:
- The integration requires an Advanced Billing site on the Relationship Invoicing architecture. If your site is on the older Statement-based architecture, contact support@maxio.com about upgrading.
- Setting up the connection requires a Super Admin role in HubSpot and an Admin role in Advanced Billing.
- HubSpot Product Library syncing requires a HubSpot Professional or Enterprise plan. HubSpot Starter plans can sync Customer and Contact records, but not the product catalog. HubSpot Free is not supported. See Setup the HubSpot Integration.
- HubSpot only accepts line-item billing frequencies of 1, 3, 6, 12, 24, or 36 months. A price point on a different interval fails to sync.
- You must test the integration in a HubSpot test account before enabling it in production. Common setup issues include connecting to the wrong HubSpot account, or missing activity filters needed to display Advanced Billing timeline events.
