Bulk Editing Subscriptions

NEW Catalog Terminology

We’re transitioning the terminology used in the Maxio Product Catalog. If you’re using the new experience, you’ll see updated naming in the application—Products are now Plans, and Components are now Products.
Our documentation is still being updated, so you may see previous terminology (especially in screenshots); refer to these definitions for the most accurate interpretation.

Advanced Billing allows you to make bulk updates to multiple Subscriptions simultaneously. You can change the billing date, billing time, Plan, or Plan Price Point for a group of Subscriptions using the Bulk Edit feature. This tool helps reduce manual updates, improve billing accuracy, and ensure efficient Subscription management.

Advanced Billing offers the option to edit multiple Subscriptions at a time.

Filter existing Subscriptions by a search term, Plan and Plan Price Point, status, Custom Field, or date to find the exact collection of Subscriptions that need to be changed.

Change Billing Date

Important Information About 'Change Billing Date'

  • This tool does not allow you to change only the billing time of your Subscriptions. You can update the billing date without changing the time, or you can update both the billing date and time together, but you cannot update only the time.
  • Subscriptions in the "Active," "Assessing," "Pending," "Trialing," or "Awaiting Signup" states that are not on calendar billing can be changed.
  • Calendar billing Subscriptions cannot be modified in bulk due to potential proration issues; you will need to update them individually.
  • Term Subscriptions cannot have their billing dates changed through bulk actions. This helps maintain accurate and reliable billing.
  • Any ineligible Subscriptions selected will be ignored by the bulk date change tool.

Change the billing date in bulk

  1. Select the checkboxes next to the Subscriptions you’d like to edit.
  2. Under the Bulk Edit selector, choose Change Billing Date.

Changing the next billing date and time has the following effects:

    • It only affects the next billing date—no billing will be performed on the selected Subscriptions until the chosen date and time.
    • After the next billing, the selected Subscriptions will again be billed according to their Plans’ recurring period.
    • None of the Subscriptions’ balances, renewal amounts, or billing periods will be changed.
  3. Next Billing Date

Select the new billing date for all Subscriptions.

  4. Next Billing Time

Select the radio button to keep the existing billing times. This ensures that the timestamp of the billing time will not be changed.

Alternatively, select change all billing times to bulk update to a new billing timestamp. If you want to move all renewals for the selected Subscriptions to the same time, we suggest setting the time to 12:00 PM.

  5. Click Update Subscriptions.

Daylight saving time changes will affect the renewal timestamps for your Subscriptions. For example, if you set the Subscription renewal timestamp to 12:00 AM, your Subscriptions may process at 11:00 PM one day prior to your expected date after daylight saving time adjustments.

Change Plan

You can use the Bulk Edit tool to move multiple Subscriptions to a different Plan in Advanced Billing, streamlining large-scale updates across your customer base.

Changing the Plan has the following effects:

  • No proration is done—your Customer is not charged or credited at this time. To apply proration, perform an upgrade or downgrade migration from the individual Subscription page.
  • The selected Plan and Price Point immediately become the current Plan listed in the Advanced Billing application and API.
  • The period will generally not be affected. However, if the new Plan includes a longer trial period than the current Plan, the trial may be extended accordingly.
  • The new Plan’s charges will be assessed at the start of the next period.
  • Products remain unchanged, and Product charges will be assessed at the start of the next period.
  • If the Subscription is moved to a different Price Point of the same Plan and that Price Point expires, the Subscription’s expiration will be calculated from its original creation date. This could cause immediate expiration upon Plan change.
  • If the Subscription is moved to a completely new Plan and the new Plan expires, the Subscription’s expiration will be calculated from the date of the change.
  • If the Subscription is moved to a Plan that does not expire, the Subscription’s expiration date (if any) will be removed, and the Subscription will not expire.

For more information on product changes, please see our documentation here.
