Control how the Salesforce integration exchanges data with Advanced Billing by configuring Customer, Product, Subscription, and Transaction sync settings, all on the Maxio AB Configuration tab. These settings determine what data flows between the two systems, in which direction, and how often.
These settings require a Salesforce environment already connected to an Advanced Billing site. If you haven't connected one yet, see Setup the Salesforce Integration.
These settings live in the Customer Configuration section of the Maxio AB Configuration tab.
| Setting | Description |
|---|---|
| Schedule Batch | Sets how often Salesforce pulls new Customer data from Advanced Billing in a scheduled batch job: 15 min, 1 h, 4 h, 1 d, or OFF. This only affects the Advanced Billing to Salesforce direction, and only updates Salesforce records when Advanced Billing data has changed. Changes made in Salesforce sync to Advanced Billing immediately, independent of this schedule. |
| Synchronization direction | Choose the direction Customer data flows between the two systems.
The initial synchronization always treats Advanced Billing as the system of record, so matching Salesforce field values are overwritten by Advanced Billing values at that point, regardless of which direction you choose afterward. |
| Scope | Choose which Accounts sync to Advanced Billing as Customers.
Every Customer received from Advanced Billing is automatically marked "Sync to Maxio AB," regardless of which option you choose. |
| Matching Customers | Choose how to match Salesforce Accounts and Contacts with Advanced Billing Customers. Customer ID is always used first and can't be unchecked.
|
| Match Found Behavior | Choose what happens when a match is found.
|
| No Match Found Behavior | Determines whether a new Account is created in Salesforce when no match is found between Advanced Billing and Salesforce. |
| Customer Hierarchy | When enabled, replicates parent-child Account relationships from Advanced Billing into Salesforce. Only one option is supported. |
| Batch size for Customer | Sets how many Customer records are processed per Salesforce transaction. Entry value between 1-2000. |
These settings live in the Product Configuration section of the Maxio AB Configuration tab.
| Setting | Description |
|---|---|
| Product Sync Direction | Advanced Billing to Salesforce only. Your Advanced Billing Product catalog (Products, Components, and Coupons) syncs to Salesforce standard objects (Product, Price Book Entry). For each Product and Component, the default Price Point syncs into a Price Book Entry. |
| Sync Scope | Syncs all active Products, Components, and Coupons from Advanced Billing. This is the only option. |
| Matching options | Choose how to match Products when they arrive in Salesforce.
This field must be populated in both systems before the initial synchronization for API Handle matching to work. |
| Do not sync Product Name | When checked, Product Name is only populated from Advanced Billing on record creation. Later changes to the Product Name in Advanced Billing don't sync to Salesforce. |
| Enable full resync | When checked, forces a full resync of Products and Components once a day. |
| Batch size for Product | Sets how many records are processed per Salesforce transaction (a single DML operation). Entry value between 1-2000. Lower this value if you run into Salesforce platform limits, for example from record dependencies, triggers, workflows, or dependent network requests. |
These settings live in the Subscription Configuration section of the Maxio AB Configuration tab.
| Setting | Description |
|---|---|
| Sync Direction | Sync both ways is the only option. A batch process pulls Subscriptions from Advanced Billing into a Salesforce custom object. New Subscriptions and changes made in Salesforce send to Advanced Billing on demand, from the Subscription Wizard screen. |
| Sync Scope | Choose which Subscriptions sync from Advanced Billing.
|
| Display custom fields | When checked, shows custom fields in the Create New Subscription wizard screen. Map custom fields per Advanced Billing site from the Maxio AB Configuration tab's Site Configuration section, under each site's Configure button, in the Custom Fields Mapping section. |
| Display Reference field | When checked, shows the Reference field in the Create New Subscription wizard screen. |
| Enable Custom Pricing | When checked, lets users set a custom price for Products and Components in the Subscription wizard. |
| Enable Expiration Date | When checked, lets users provide an expiration date for a Subscription in the Subscription wizard. |
| Batch size for Subscription | Sets how many Subscription records are processed per Salesforce transaction. Entry value between 1-2000. |
| Enable Subscription Components Sync | When checked, syncs Subscription Components from Advanced Billing into a dedicated Salesforce custom object. |
| Batch size for Subscription Components | Sets how many Subscription Component records are processed per Salesforce transaction. Entry value between 1-2000. |
These settings live in the Transaction Configuration section of the Maxio AB Configuration tab.
| Setting | Description |
|---|---|
| Transactions Sync Status | Turns Transaction synchronization on or off. |
| Transactions Sync Direction | Advanced Billing to Salesforce only. Advanced Billing Transactions sync into a Salesforce custom Transaction object. |
| Retention period in days | Sets the maximum age, in days, of Transactions to sync from Advanced Billing. Transactions older than this won't be in Salesforce. |
| Batch size for Transactions | Sets how many Transaction records are processed per Salesforce transaction. Entry value between 1-2000. |
| Transaction types | Choose which Transaction types sync from Advanced Billing: Charge, Adjustment, Credit, Refund, and Payment. All five are selected by default. |
These settings live in the Opportunity Configuration section of the Maxio AB Configuration tab. They control how a Subscription Preview on an Opportunity requires approval and when an Opportunity closes automatically.
This section also has an Opportunity Amount Options group below the settings covered here, which isn't fully covered in this article. Check the Maxio AB Configuration tab directly for those.
| Setting | Description |
|---|---|
| Activate Subscription on Opportunity Closed/Won | When the Opportunity's stage changes to Closed/Won, activates every related Subscription Preview into an Advanced Billing Subscription. A Preview that's already active at the time of Closed/Won isn't sent again. |
| Enable Preview creation after Opportunity is Closed | By default, you can't add a new or upgraded Subscription Preview to an already-closed Opportunity. Check this to allow it. |
| Block closing Opportunity without Payment Method | If any of the Opportunity's Subscription Previews has no payment method, the Opportunity can't be Closed/Won. |
| Manager approval for preview required | Requires Manager approval to generate a quote PDF and activate a Subscription Preview.
|
| Customer approval for preview required | Requires Customer approval to activate a Subscription Preview. This approval is a manual process, which can be further automated.
|
| Close Opportunity when subscription is created from COSP | Closes the Opportunity automatically to the stage you choose when its Subscription is created from a Custom Offer Signup Page. If the Opportunity has multiple Subscriptions, all of them must be Active and all remaining Subscription Previews must be Sent or Canceled first. Includes an Opportunity Stage setting for which Closed/Won stage to use. |
| Close Opportunity when trial subscription is activated | Closes the Opportunity automatically when its Subscription moves from Trial to Active. If the Opportunity has multiple Subscriptions, all of them must be Active and all remaining Subscription Previews must be Sent or Canceled first. |
| Enable Description for new subscription previews | Adds a description field to the Subscription Preview wizard for new Subscriptions. The description syncs to Advanced Billing on activation as the sfdc_preview_description metadata field, which you map separately to the Maxio AB Subscription object in Salesforce. |
