The Xero integration connects Maxio Platform to Xero so that accounts, items, customers, invoices, credit memos, payments, and refunds sync between the two systems, with Xero remaining your primary financial reporting system and Maxio Platform becoming your primary interface for entering new Customers, generating Invoices, recording Revenues, and managing Renewals.
What you can do with the Xero integration
The Xero integration lets you:
- Connect Maxio Platform to Xero using OAuth, granting access to one or more Xero organizations.
- Sync items, customers, invoices, credit memos, payments, and refunds bi-directionally between Maxio Platform and Xero; Accounts sync one-way, from Xero into Maxio Platform.
- Automatically generate a Maxio Profile for new Items synced in from Xero: Items linked to a Liability account in Xero are set up as recurring, and everything else is set up as non-recurring, using your account's own configured Item defaults.
- Send payment processing fees to Xero, and, once Maxio Support enables it, sync deposits to Xero as batch payments.
- Apply Credit Applications automatically as bridge payments between credit memos and invoices in Xero, once Maxio Support enables it.
- Choose a sync schedule: Manual Sync Only, Nightly, Every 4 Hours, or Hourly — with a separate schedule available for payments.
- Set up multi-currency support, if your Xero organization uses it.
- Monitor sync status, review attention-needed alerts, and manually trigger a sync from the Xero dashboard in Maxio Platform.
- Choose how the integration handles a sync error: stop the current step, or log the error and continue through the remaining steps.
Each record type (accounts, items, customers, invoices, credit memos, payments, refunds, and deposits) has its own sync step, which can be a Get step (retrieves records from Xero into Maxio Platform), a Send step (sends records from Maxio Platform to Xero), or both. Sync steps run automatically on the schedule you configure, or can be triggered manually at any time.

Things to know before you start
A few behaviors are worth knowing up front:
- Deposit Sync for Maxio Payments and Credit Applications are enabled by Maxio Support, not self-service. Contact support if you want to use either.
- Items synced in from Xero need a Maxio Profile before Invoice information will sync between the systems. See Items.
- If Maxio Platform has multi-currency enabled but your Xero organization doesn't, or the two systems' home currencies disagree, the sync halts with an error until you correct the mismatch. See Multi-Currency for the Xero Integration.
- When sending records to Xero, a sync error stops that record's sync step by default, unless Continue On Error is enabled. See Configure Xero Integration Settings.
