Review Integration Limitations

The Maxio Core and Advanced Billing integration synchronizes most records in both directions, but a few actions are unsupported or restricted, especially when QuickBooks or Xero is connected. The restrictions below are the ones that affect the most accounts; they are not an exhaustive list.

Limitations by general ledger

Which restrictions apply depends on the general ledger your account is connected to.

For QuickBooks-synced accounts:

  • Unsupported: updating Payments that are synced from Maxio Core to Advanced Billing
  • Limited: voiding or deleting Payments that are synced from Maxio Core to Advanced Billing

For Xero-synced accounts:

  • Unsupported: receiving an overpayment of an Invoice
  • Limited: deleting Payments that are synced from Maxio Core to Advanced Billing

Limitations that apply to all accounts

Two Payment restrictions hold regardless of which general ledger you use, or whether you use one at all.

  • A single Payment applied across multiple Advanced Billing subscriptions cannot be synced from Maxio Core to Advanced Billing. This includes subscriptions belonging to the same Customer, not only payments spanning different Customers.
  • A Payment with an unapplied amount cannot be synced until the full amount is applied to Invoices.

Why sync state matters

Most of these restrictions turn on whether a payment has already synced back to Advanced Billing. Once it has, the actions above are unsupported or limited, and there is no sequence of edits in either application that works around them. The practical consequence is that a correction has to be made before the payment syncs back, not after.

If you need to change a payment that has already synced, contact Maxio Support rather than editing either copy.
