The Edit Term feature in Maxio allows you to modify an active Subscription’s term directly in the UI, making it easy to switch between Evergreen and Term Subscriptions, update expiration dates, and align settings with contract or Customer agreement changes. Whether you need to convert a month-to-month plan to a fixed term, correct an incorrect end date, or adjust terms to match negotiated deals, this feature ensures accurate billing, renewal processing, and revenue forecasting.
Subscriptions in Maxio come in two types:
- Evergreen – No fixed term, the Subscription remains active until canceled.
- Term – Has a fixed expiration date; the Subscription automatically expires when the term ends.
For a full breakdown of the differences, see Term Subscriptions.
Use Cases
Account managers, billing administrators, and operations teams may use the Edit Term feature to:
- Adjust Subscription expiration dates based on contract updates.
- Convert an Evergreen Subscription to a Term Subscription, making it eligible for Auto-Renewal or Scheduled Renewal.
- Remove a term end date to make a Subscription Evergreen when a Customer moves to a month-to-month plan.
- Correct term end dates if entered incorrectly, changes can be made multiple times without detrimental impact.
- Mirror real-world events, such as contract upgrades, early releases, or other negotiated changes.
Changing a term end date also supports accurate revenue forecasting in Maxio Core and ensures proration is handled automatically if the term ends mid-billing cycle.
How It Works
When you set or change a Subscription’s term end date:
- Maxio Core Transactions are created for revenue recognition forecasting and future draft Invoices.
- If the new term end date falls between billing periods, the final Invoice is prorated.
- Removing the term end date changes the Subscription to Evergreen; the Subscription will remain active until canceled.
- Changing to a Term sets the Subscription to expire at the chosen date and makes it eligible for Term Subscription Renewal options.
Configuration
To change a Subscription’s term end date in the UI:
- Navigate to the Subscription Summary page.
-
Locate the Term row.
-
Click Change, then Edit Term.
-
In the modal:
- The term end date always defaults to the current setting, update as needed.
- If the Subscription is Evergreen, uncheck the Evergreen box.
- To avoid proration, select a date that aligns with a billing date.
- Click Save.
Transactions and future draft Invoices are created in Maxio Core, and the Subscription is updated.
You can repeat these steps to adjust the term as often as needed.
Validation Rules
Term changes are only allowed when:
- The Site has Term Subscriptions enabled.
- The Subscription has not already expired.
- The new date is after the start of the current billing period.
- For awaiting-signup Subscriptions, the date must be after the activation billing period. The term date cannot be the current date.
- No delayed product change is scheduled for the Subscription.
-
No active renewal configuration is in place:
- Changing expiration date when Auto-Renewal Configuration is configured is not allowed.
- Changing expiration date when Scheduled-Renewal Configuration is in a state other than draft is not allowed.
- From the API, the new date must be a valid ISO-8601 date/time and within the allowed range.
