Catalog Terminology
We’re transitioning the terminology used in the Maxio Product Catalog. If you’re using the new experience, you’ll see updated naming in the application—Products are now Plans, and Components are now Products.
Our documentation is still being updated, so you may see previous terminology (especially in screenshots); refer to these definitions for the most accurate interpretation.
Bulk Edit Catalog Items lets you select Products and Components from any Product Family in one list and change the settings they share on all of them at once, instead of opening each one. It is most useful after you switch tax providers, when every item still carries the previous provider's tax code.
Before you begin
Check the following before you start:
- Bulk Edit Catalog Items isn't turned on for every site. If Bulk Edit Catalog Items doesn't appear in the More Actions menu on your Products page, contact Maxio Support.
- You need the Setup access level on the site. Users without it don't see the menu item and can't open the page.
- The list includes only active items. Archived Products and Components don't appear and can't be edited here.
Fields you can change
Every field you change applies to every item you select. The fields are:
| Field | Choices |
|---|---|
| Taxable | No change, Yes, or No |
| Tax code (labeled for your tax provider) | No change, Set to a new value, or Clear |
| Item category | No change, or one of None, Business Software, Consumer Software, Digital Services, Physical Goods, or Other |
| Accounting code | No change, Set to a new value of up to 255 characters, or Clear |
The tax code field only appears when your site uses AvaTax, TaxJar, Numeral, or Taxwire, and its label matches the provider: AvaTax Tax Code, TaxJar Tax Code, Numeral Product Category, or Taxwire Product Category. AvaTax and TaxJar tax codes can be up to 25 characters; Numeral and Taxwire product categories can be up to 255. On sites using Anrok, Sphere, or custom taxes, the tax code field, its column, and its filter don't appear.
Select the items to edit
The page lists Products and Components together, sorted by name. On sites that allow Planless Subscriptions, the page uses the same terms as the rest of the Catalog: Plans and Products.
To select items:
- Go to Catalog > Products (Catalog > Product Families on sites that allow Planless Subscriptions).
- Click More Actions, then click Bulk Edit Catalog Items.
- Narrow the list with the filters: Search (name, handle, or ID), Product family, Item type, Taxable, Tax code, and Item category. The Tax code filter can show only items whose code is Not set, or only items whose code is longer than your provider allows.
- Select the items you want to change. Your selection is kept when you move between pages or change the filters.
- To select every item that matches the current filters, click Select all N matching.
You can edit at most 500 items at once. When more than 500 items match, the button reads Select the first 500 matching, and Edit fields… is unavailable while more than 500 items are selected.
Change the fields
Each field starts on No change, and fields you leave on No change aren't touched.
To change fields on the selected items:
- Click Edit fields….
- For each field you want to change, choose its new value. For a text field, choose Set to and enter the value, or choose Clear to remove the current value.
- Review the Validation check. It runs each selected item's validations and shows how many items pass, how many already have these values, and how many fail, with the reason for up to five of the failures.
- Click Apply to N items.
A value longer than the field allows blocks Apply. The validation check doesn't save anything, and saving can still fail for reasons the check doesn't cover.
Review the results
Each item is saved separately, so one failure doesn't stop the others. The results list every item with one of these outcomes:
- Updated: the item was saved with the new values. The details name the fields that changed.
- Unchanged: the item already had these values.
- Failed: the item couldn't be saved. The details give the reason, for example a Component whose default price point is archived.
- Not found: the item is no longer available, for example because it was archived after you selected it.
Subscription balances for the affected items refresh in the background after the changes are saved.
To fix the items that failed, click Select the N failed items. Only the failed items are selected again, so you can correct the cause and apply the change to them. Clicking Done closes the results and clears your selection.
Find taxable items with no tax code
When your site uses AvaTax, TaxJar, Numeral, or Taxwire and Bulk Edit Catalog Items is turned on, the Taxes page (Config > Taxes) warns you about taxable items that have no tax code, for example "2 taxable items have no AvaTax Tax Code." Users with the Setup access level see this warning. A tax code that contains only spaces counts as missing.
Click Set them in Bulk Edit Catalog Items in the warning to open the page filtered to exactly those items: taxable, with no tax code set.
