This integration keeps your Salesforce and Maxio data working together, from importing Closed-Won deals as Sales Orders to keeping Customer records and financial data current in both systems.
Use this integration if you want to sync Sales Orders, Invoices, Contracts, and Renewal Opportunities between Salesforce and Maxio.

Key capabilities
Enable only the modules your business needs:
- Get Sales Orders imports Closed-Won Opportunities (or Salesforce Orders) into Maxio as Sales Orders, which you then process into Customers, Contracts, Transactions, and Invoices.
- Get Account Metadata keeps Maxio Customer and Billing Profile records in sync with the corresponding Salesforce Account, using field mappings you define.
- Send Financial Records syncs financial records created in Maxio, such as Customers, Contracts, Transactions, Invoices, and Payments, back into Salesforce so Salesforce users have current financial context for each Customer.
- Send Renewal Opportunities automatically creates Renewal Opportunities in Salesforce for Transactions nearing their end date, so sales teams can follow up before a Subscription ends.
- Send API Token posts a Maxio API token into Salesforce for use by connected Salesforce automation, most commonly to power Project Triggers. See Use Maxio Projects for Salesforce for the workflow this supports.
By default, when a salesperson marks an Opportunity as Closed-Won in Salesforce, its products sync into a Sales Order in Maxio. Administrators can adjust the sync filter or type, so the exact behavior depends on configuration.
Once a Sales Order is processed, its resulting Customer, Contract, Transaction, and Invoice records can also be sent back to Salesforce, keeping billing and contract data visible across departments. What syncs
Get Sales Orders and Get Account Metadata sync data one-way, from Salesforce into Maxio. Send Financial Records and Send Renewal Opportunities sync one-way, from Maxio into Salesforce. There's no two-way sync of a single record type in either direction.
There's no product or item catalog sync between the two systems. You maintain your Product list in Salesforce and your Item list in Maxio independently, and the two are matched by code, not by a shared catalog.
Prerequisites
Confirm these are in place before you connect the integration:
- (Required) Your Salesforce edition includes API access. Enterprise, Unlimited, Developer, and Performance editions include it by default. Group, Essentials, and Professional editions don't, though Professional Edition may add it as a paid add-on. See Salesforce's own documentation on API access by edition to confirm your org qualifies.
- Maxio has activated the Salesforce integration for your account. If you don't see the Salesforce icon in the side navigation, it hasn't been enabled yet.
Customer responsibilities
As the admin managing this integration, you're responsible for:
- Deciding which modules to enable based on your business processes, and keeping each module's field mappings up to date as your Salesforce or Maxio fields change.
- Maintaining matching Product codes in Salesforce and Item codes in Maxio yourself, since the integration doesn't sync a shared catalog. If the codes don't match exactly, Salesforce products won't map to Maxio Transaction Items.
- Keeping any custom Salesforce picklist values you map to a Maxio drop-down field in sync with the corresponding Maxio values. Mapped drop-down values must match exactly, letter-for-letter, or the sync breaks.
Limitations
Keep these limitations in mind before you rely on the integration:
- Processed Sales Orders don't re-sync. Once a Salesforce Opportunity or Order syncs to Maxio and is processed into Transactions, it doesn't sync again, even if you later change its quantity, price, notes, or activities in Salesforce. A new product added to an already-processed Opportunity or Order does sync in as a new record.
- CPQ support is limited. A Salesforce CPQ identifier may be present in your sales order data, but Custom Order Schedules (COSP) and Lead Conversion mapping aren't part of this integration.
