Assign cadence templates to customers, invoices, transactions, and sales orders so payment reminders are automatically scheduled for new and existing A/R. You can configure defaults, bulk edit records, and map cadence fields from integrated CRMs to keep collections consistent across your workflow.
This feature is a part of the Cadences functionality. Cadences is a feature of Maxio Platform's Collections functionality that generates and sends emails to customers to remind them to pay their outstanding invoices.
You can learn more about Cadences by checking out this help article: Cadences Overview.
Methods for assigning Cadences to Invoices
| Method | Description |
|---|---|
| Default Cadences | You can set a default Cadence template for all new Customers. When you create a Customer, the record will have this Cadence automatically selected by default. Note that this default will not be applied to existing customers or invoices. |
| Create or edit an Invoice | Open the Collections Settings tab and then select a Cadence Template. You can also assign a Cadence template to all of your open invoices by Bulk Editing them. |
| Create or edit a Customer | Select a Cadence template in the Collections Preferences section of the screen. Any invoices created for this Customer will inherit this option. You can also Bulk Edit your customers to assign a Cadence template to several of them at the same time. If you change the Cadence template on an existing customer, Maxio asks whether to also update that customer's open invoices to the new template. Choose Yes to update them, or No to leave existing invoices on their current Cadence. |
| Create or edit a Contract | Select a Cadence template in the Default Cadence Template field. New Invoices created under this Contract use it instead of the Customer-level default. |
| Create a Transaction | Open the e-Bill Data tab (named Billing Portal Data if e-Bills aren't enabled on your account) and then select a Cadence Template from the drop-down menu. Any invoices created for this Transaction will inherit this option. |
| Bulk Edit Customers or Invoices | Check the Default Cadence Template box and then select an option from the drop-down menu. |
| Process a Sales Order | This field can be mapped in the Salesforce and HubSpot Get Sales Orders functions so that the Cadence carries over from the integrated CRM. |
Note that depending on when you assign an invoice to a cadence, it will pick up from the next available step. For example, if the invoice is past its due date, the Cadence will not execute any of its steps that are before the due date.
