Understand Custom Fields in Maxio Core

Custom fields let you create new fields that can be used across supported areas of Maxio. Once created, their values can be referenced throughout Maxio in lists and list filters, reports, and on the individual record page.

Where you can add custom fields

Custom Fields are available for the following objects:

• Bills
• Contracts
• Customers
• Expenses
• Invoices
• Items
• Payments
• Registers
• Subscriptions
• Transactions
• Vendors
• Vendor Contracts

When to create new custom fields

Custom fields can be used to capture additional business-specific data in Maxio and reference it alongside financial data. They can also help standardize how your team enters data, which promotes consistency as your team grows. For example, you could create a required drop-down field so that everyone always populates it and chooses from a list of options you have predefined.

Custom fields also support custom processes. For example, you could create a Boolean field to use as a flag for when an invoice needs more information before it is sent, or to flag customers that need to be contacted by a CSM.

What you cannot change later

Two decisions cannot be undone once a field exists.

• A field's Object Type and Field Type are permanent. Neither can be changed once the field is created, so decide which object the field belongs to and what kind of value it holds before you create it.
• Each object has a fixed capacity. Custom fields are stored in a fixed set of database columns, so every object type has a maximum number of fields per type. See Custom fields capacity in Maxio Core for the limits, including the objects that reserve some columns for built-in values.

Plan before you create a field

Keep the fixed capacity in mind as you decide what to create.

• Plan carefully which objects and field types need customization.
• Use built-in fields first before creating new custom ones.
• Stay aware of limits so you do not run out of available fields unexpectedly.
