Use Multiple Registers
Last updated on Sep 19, 2026
Your Maxio account is provisioned with a single Register to hold Contracts. Each Contract must exist in a single Register. A Register must have a currency, and all Contracts, Transactions, and Invoices in that Register will be in the currency of the Register. You can create and manage separate Registers to make it easier to segment information in reports.
When to use multiple registers
These are the situations that most often call for a second Register.
| Use case | Why it helps |
|---|---|
| Set Invoice Prefixes by Register | One distinct advantage of multiple Registers is the ability to use a different Generated Invoice Number Prefix for each one, which makes it easy to identify Invoices of each business segment at a glance. Contact support@maxio.com to have this feature enabled. |
| Multiple currencies | Since a Register has only one defined currency, use multiple Registers to support operating units or Contracts in different currencies and simplify financial reporting. Important: If Multi-Currency is enabled, you must have at least one Register for each currency in which you conduct business. |
| Business unit organization | If you have multiple business or operating units based on geography or products, you likely would use separate Registers. For example, if you sync in financial records via the Stripe 1Way Integration, you will want one Register for your Stripe Contracts and another for your non-Stripe Contracts. |
| Mixed monthly and annual/term subscriptions | If you have two or more disparately behaving subscriptions, regardless of business unit organization, consider separate Registers. For instance, you may have one month-to-month subscription service that costs $20 a month, and an annual term subscription that costs $20,000 annually and is typically sold with professional services and support. Reporting is easier with separate Registers, and so is using other functions such as Process Renewals/Cancellations and Bulk Renewals/Cancellation, which are Register-specific. |

How multiple registers affect reporting
Both Analytics and Finance Report definition screens hide the Register list if there is only one Register, and all reports treat "no Register selected" as "All Registers". Both behaviors exist to simplify building reports.
Important: If you add a second Register, every existing report must be edited if you want to exclude the second Register from its results. This is true for each new Register added, so review and update report definitions whenever you add one.
What to watch for with the QuickBooks integration
In Maxio, Invoices are contained within a Contract. If you have multiple Registers and sync Invoices into Maxio that were created in QuickBooks, Maxio places the Invoice in the newest matching Contract: the newest in the preferred Register when the currency matches, otherwise the newest in any Register holding that currency. If nothing matches, Maxio creates a Contract in the oldest Register using that currency.
If you use multiple Registers and have Customers with Contracts in more than one Register, you should not originate Invoices in QuickBooks, because you cannot control which Contract or Register the Invoice lands in when it syncs. Likewise, if you create a Customer with Invoices in QuickBooks and sync to Maxio, Maxio automatically creates a Contract to hold the Invoices, and you cannot control which Register that Contract is created in.
