Create and Manage Custom Fields

Custom fields are created and updated from Admin > Custom Fields, which has one tab per object. Every option on the create and update screens is described here, along with the capacity limits for each object.

Create a custom field

To create a custom field, open the corresponding tab and then click the plus (+) icon at the top right corner of the page.

OptionDescription
Object TypeDetermines the core area in Maxio where this field will live. Choose from any of the objects listed in the Overview. Cannot be changed once the custom field is created.
Display NameThe name shown for this field throughout Maxio.
Reference NameThe unique identifier used for integration purposes and the API. It must start with c_, followed by a lowercase letter, and can then contain lowercase letters, numbers, and underscores. It cannot end with an underscore or contain two underscores in a row. Cannot be changed once the custom field is created.
Field TypeThe kind of value the field holds:
  • Date - Enter a specific date or pick from a popup calendar.
  • Text - Enter any combination of numbers, symbols, or text, up to 255 characters.
  • Dropdown - Choose from a pre-configured set of options, which you supply in the Values field.
  • Boolean - Check a box to set a value of True or False. Throughout the application, this field displays as "Yes" or "No".
  • Number - Enter any number. Decimals are supported up to two decimal places. Enter numbers without commas, so for one thousand enter 1000.
  • URL - Enter a web address.
Cannot be changed once the custom field is created.
Values(Dropdown fields only) The options a user can choose from. Place each value on a separate line.
Default ValueSets the value of the field upon record creation. Default values can be set for Text, Number, Date, Boolean, and URL fields. Dropdown fields have no default. Dropdown fields do not support defaults.
RequiredSelect to require the field to be populated. When enabled, the custom field must be filled out for all existing and newly created records.
Available on e-Bills(Customer and Invoice objects only) Enable to allow this field to be added to an e-Bill theme.
Add Custom Fields to the Advanced Subscription Momentum ReportCheck this box to use this custom field for grouping in an Advanced Subscription Momentum Report. You can select up to 10 custom fields for momentum calculations.
Include in Auto-Renewal(Transaction object only) Enabled by default. When enabled, this field's value is copied onto renewal Transactions created by any renewal method: scheduled Auto-renew, a manual Renew, Bulk Renew/Cancel, and Renew at End of Term. Disable it for one-time or onboarding data that shouldn't carry forward to future Transaction terms; the field is then left blank (not set to its configured default value) on the renewal Transaction.

Update a custom field

To edit an existing custom field, click the menu icon next to the field and click Edit.

Be aware of the following when updating an existing custom field:

  • Object Type - Cannot be changed once a field has been created.
  • Field Type - Cannot be changed once a field has been created.
  • Display Name - Changing this updates the label of this field as soon as it is saved.
  • Default Value - Adding or changing an existing default value only takes effect on newly created records.
  • Required - If enabled, all future creates and edits must supply a value for this field. Existing records with NULL values remain unchanged until they are manually updated.

Important: You cannot clear Add Custom Fields to the Advanced Subscription Momentum Report while an Advanced Subscription Momentum report still uses that field as its momentum calculation basis. Maxio blocks the change and lists the reports involved, so update those reports to use a different basis first.

How many custom fields you can create

Each object type in Maxio Core has a maximum number of custom fields. These limits exist because custom fields are stored in a fixed set of database columns. Once those columns are used, you cannot add more custom fields.

How many fields each object allows

The counts below are the fields available for your own use, after any columns reserved for built-in values.

Delete a custom field

Deleting a custom field clears its value on every record of that object type, so the data is gone rather than hidden.

WARNING: Deleting a custom field removes its stored value from every record of that object. Maxio takes an automatic backup of your account first and stops if that backup fails, but the field's data cannot be recovered from within the application.

Deleting a field also removes it from any saved list views and billing descriptors that referenced it, and frees its underlying column so a future field of the same type can reuse it.

Maxio blocks the deletion outright if the field is used by an advanced revenue formula. Clear that use first, then delete the field.
