Use the Deferred Revenue by Transaction Report to see each Transaction's Deferred Revenue and Unbilled AR balance as of the report end period.
Conceptually, this report is similar to Configure the Contract Summary Report, and the output looks similar. However, the underlying logic is different: the calculations are performed at the Transaction level, not at the Customer or Contract level. While the data isn't summarized by Customer or Contract in this report, you can export to CSV and summarize it externally. This report can help with audit requests.
If this report isn't visible in your Finance Report options, contact support@maxio.com. Only Maxio Support can enable it for you, and it typically takes more time to run than other reports.
Important: Once you submit a report request, you can't cancel or modify it. Don't resubmit. Wait for the report to finish, then make changes if needed.
Go to Reports > Add Report > Finance Reports > Deferred Revenue by Transaction to open the report builder. This report includes the following configuration options.
| Option | Description |
|---|---|
| Currency Presentation | Choose Home Currency or Local Currency. Only appears if multicurrency is enabled in your account. |
| Registers | Select one or more Registers. If none are selected, all are included. |
| Filter on Accounts or Items | You can run the report by Accounts or by Items. You can select specific Accounts or Items, but not both. In either case, if you select no Items or no Accounts, then all Items are included. For important caveats when selecting Items or Accounts, see Items, Accounts, and Filters in Finance Reports. |
| Detail Columns | Adds extra columns to the report, such as Customer contact and billing information or Contract details, for the fields you select. |
| Date Range | Select fixed Custom Dates or from one of the date range options. |
| Display Short Term / Long Term Deferred Revenue and Unbilled AR | When enabled, this adds columns showing the Short-Term and Long-Term portions of each Transaction's Deferred Revenue or Unbilled AR balance. The Short-Term portion is capped at the revenue expected to be recognized in the next 12 months; anything beyond that is Long-Term. |
| Revenue and Invoice Filters | Select one or more filters and appropriate matching criteria to filter in or out relevant Transactions and or Invoice Line Items. Multiple filters are always combined with AND logic; you can't filter using OR across multiple filters. This report's results have the following behaviors.
| Behavior | Description |
|---|---|
| Transactions without Deferred Revenue or Unbilled AR | Transactions without Deferred Revenue or Unbilled AR in the reporting period are excluded from the results. If a Transaction has neither Deferred Revenue nor Unbilled AR as of the report end period, the Transaction is excluded from the report. Reports defined to run out too far in the future are likely to have few, if any, results. |
| Unassociated Invoice Line Items | Unassociated Invoice Line Items, meaning those not linked to Transactions, aren't included in the computation. Only Invoice Line Items linked to Transactions are included, and only Invoice Line Items that use an Item included in the report definition are included. A Transaction whose Deferred Revenue balance never declines to zero can occur when:

| Negative Transactions | Whether a negative-value Transaction appears under Deferred Revenue or Unbilled AR depends on whether more has been invoiced or recognized as of the report end date, not on the sign of its linked Invoice Line Items alone. |
| Long-Term / Short-Term Deferred Revenue and Unbilled AR | Shows the Long-Term and Short-Term breakdown described above, when Display Short Term / Long Term Deferred Revenue and Unbilled AR is enabled. |
