Build configurable List Builder reports directly in Maxio to pull exactly the data you need from Invoices, Transactions, Contracts, and other core objects. Select a base object, add fields from related objects, set filters, and export, schedule, or email the results, up to 100,000 rows, no custom engineering required.
Before you begin
Make sure the following are in place before you create a List Builder report.
- The List Builder feature must be enabled for your account. If you don't see the List Builder option, contact your account administrator or Maxio support.
- You need permission to create and manage reports.
Create a List Builder report
- On the side navigation bar, expand Reports and select Reports Home.
- Click Add Report.
- Under Analytics Reports, select List Builder.
- Select a base object. Supported base objects are Invoice Line Item, Invoice, Transaction, and Contract. New reports default to Transaction.
- Select the fields to include. You can choose fields from the base object and its approved parent or related objects, for example, an Invoice Line Item report can include Invoice Number, Period Start Date, Period End Date, Transaction Amount, Contract Name, and Customer Name. Field labels are grouped and displayed with object prefixes. You can select up to 50 columns.
- Apply filters. Filters are available for the same fields exposed to the report.
- Generate the report. The report returns exactly one row per base object record, up to 100,000 rows.
What to expect
Keep the following in mind when working with List Builder reports.
- Enabled custom fields are available for selection; disabled custom fields aren't displayed.
- Integration-specific fields (for example, Salesforce fields) only appear when the corresponding integration is enabled.
- Child or downstream relationships aren't available for selection. This keeps the report grain consistent and prevents duplicate or ambiguous rows.
- Some fields exist only in List Builder and aren't available for filtering or in the corresponding object's classic list view. For example, an Invoice Line Item report can include Period Start Date and Period End Date, the specific billing period that invoice line covers, which is the sub-range of the related transaction's term for quarterly or other non-monthly billing, without needing to open the transaction detail page.
- You can save, edit, copy, generate, export, schedule, and email List Builder reports using the existing reporting infrastructure, and report history is retained.
Troubleshooting
If you run into issues generating or saving a List Builder report, check the following.
- Fields that become stale or unavailable are automatically excluded when the report is generated.
- If all saved fields in a report become unavailable, the report falls back to valid default fields.
- Invalid field or base object selections return a validation error rather than generating a report.
