Edit, delete, export, and manage Customer data in Advanced Billing to ensure accurate billing, compliance, and reporting. This article explains how to maintain Customer records, remove accounts, generate exports, send mass emails, manage tax-exempt status, and maintain Payment profiles.
Editing Customers
From Advanced Billing, go to Billing > Customers and open the Customer Account. From the Actions drop‑down, select Edit to update and maintain Customer records. You can edit basic information such as names, email addresses, and organizations, as well as advanced fields like tax IDs, VAT numbers, and custom fields. Keeping Customer data accurate ensures that Subscriptions, Invoices, and tax calculations remain correct and up to date.
Deleting Customers
You cannot delete a Customer if Subscriptions are associated with the account. You must delete all associated Subscriptions first.
If you are connected to Maxio Core, note that Customer deletion is restricted to protect financial data in both Advanced Billing and Maxio Core. If a Customer is synced between the two systems and cannot be deleted in Maxio Core, the Customer remains in Advanced Billing. This safeguard ensures that critical financial records remain intact. Attempting to delete the Customer will result in a warning.
Exporting Customers
Select Export Customers to generate a report of Customer data. For details about the data included in the export, see the Customer Export Format and Fields article.
Emailing Customers
You can mass-email your Customers directly from the Customers view. Email your entire Customer base or target Customers who subscribe to a specific product.
Recipients cannot opt out of these emails. Use this feature only for essential service-related announcements such as outages or plan changes.
Clearly identify your company or team in the email body so recipients understand the context. Otherwise, your emails may be flagged as spam or create confusion. For detailed guidance, see Mass-Emailing Subscribers Guidelines.
Setting Customers as Tax Exempt
You can mark a Customer as tax exempt by setting the tax exempt flag on the Customer edit page. This action causes tax line items to be excluded when calculating Invoices and statements. Note that this setting takes precedence over other tax settings for products, components, and so on.
The tax exemption flag overrides product- and component-level tax settings.
Payment Details
You can view, add, or delete the Payment details associated with a Customer. For some payment gateways, a Payment profile may be marked as disabled if the payment information cannot be found on the gateway side. This typically occurs when the gateway attempts to update a stored credit card via an auto-updater routine and fails.
In these cases, the Payment profile is removed from the gateway and disabled in Advanced Billing. Disabled Payment profiles can only be deleted.
