What happens when I remap items to new revenue accounts?
Applies to: Maxio Core
Workflow: Close the month ›
Last updated on Oct 27, 2026
Changing an item's income account doesn't rewrite synced invoices or existing revenue schedules. Maxio's reports use each item's current account, though, and your general ledger's item mappings have to be updated separately.
Important: A Maxio Core Closing Date blocks recasting revenues and invoice line items on or before it. If you've set one, confirm with Maxio Support how your remap will be treated before you start.
Scenario
“We're restructuring our chart of accounts across three entities and need to move items to different revenue accounts. Will that rewrite past invoices or revenue schedules, and will the change carry over to Xero?”
What changes and what doesn't
Effects by area
| Area | Effect of changing an item's income account |
|---|---|
| Previously synced invoices | Not rewritten. |
| Existing revenue schedules | Amounts and dates aren't regenerated. |
| Maxio revenue reports | Use the item's current account, so past and future revenue for the item appear under the new account when you rerun reports. |
| Items in Xero | Not updated, and a sync won't push the change. Update the sales account on each item in Xero separately. |
| Xero lock dates | Don't block the change in Maxio, because synced invoices aren't revised. |
Choose a bulk method
Choose one of these methods:
- Items > Edit Accounts when many items move to the same account.
- Create and Update Items (CSV import) when each item maps to a different account. Identify existing items by their exact item name.
Both require Admin permissions.
Recommended order
Follow this order when you remap items.
To remap items
- Confirm the new accounts exist in both Maxio and your general ledger.
- From Admin, run a backup.
- Save a record of your current item mappings for comparison.
- Remap one entity at a time.
- Review Maxio's revenue reports for a past period and for future periods.
- Update the matching items in your general ledger.
- Let the next scheduled sync run, then check Sync Issues.
