QuickBooks Desktop can reject a Customer or Job update from Maxio with this error:
Example: The provided edit sequence is out-of-date.
This happens when Maxio sends an update for a Customer or Job using a locally cached edit sequence value that no longer matches the record's current edit sequence inside the QuickBooks Desktop company file, because that record was edited directly in QuickBooks Desktop after Maxio's last read of it.
Maxio stores an edit sequence value for every Customer and Job it syncs to QuickBooks Desktop, and sends that value with every update so QuickBooks Desktop can confirm the update applies to the version of the record it currently has on file. Each sync session starts by reading the current Customer and Job data from QuickBooks Desktop, which refreshes Maxio's stored edit sequence for every record before Maxio attempts to send any updates later in that same session.
Because of that ordering, the mismatch only happens in a narrow window: someone edits a Customer or Job directly in QuickBooks Desktop after Maxio has already read that record for the current sync session, but before Maxio's update for that same record runs later in the session. QuickBooks Desktop then receives an update carrying an older edit sequence than the one already on file and rejects it rather than risk overwriting the newer edit.
Exactly how QuickBooks Desktop tracks and validates a record's edit sequence internally is a detail of QuickBooks Desktop itself, not something Maxio's codebase can confirm.
A new sync session always re-reads Customer and Job data before sending updates, so simply retrying the sync resolves the mismatch in most cases. Closing and reopening QuickBooks Desktop first clears any pending state in the company file so the next sync starts cleanly.
To resolve the out-of-date edit sequence error
Wait until a Web Connector sync finishes before editing a Customer or Job directly in QuickBooks Desktop. Editing during an active sync is what creates the timing window that produces this error.
